How to Make a Business Card Yourself: Step by Step from Text to Print

How to make a business card yourself: where to start

To make a business card yourself you need three things: finished text, a program or online maker, and a way to print. The layout takes a few minutes once you have decided what the card will say. After that the file is either printed at home on heavy paper or sent to a print shop. Below is the whole route step by step, from preparation to a finished run.

What to prepare in advance

Most of the time goes not into design but into hunting for details along the way. Gather everything before you open an editor:

  • The text: name, profession or job title, company, contact details.
  • The logo in the largest size you have: PNG, JPG or SVG.
  • A link for the QR code, if you want one: website, portfolio, booking page.
  • Your brand color. If you do not have one, pick one and stick to it.

Where to make a business card: online maker, Word or a graphics editor

The choice depends on how much freedom you need and how much time you are ready to spend.

  • An online maker. The size is picked from a list and the layout is ready; you type the text and choose a design. That is how our Business card online tool works.
  • Word or another text editor. Good when you want to lay the cards out on a sheet and print them at home.
  • A graphics editor. Full freedom and any size, but you have to watch the format, margins and resolution yourself.

Can you make a business card for free

The layout itself can be made for free. Our maker asks for no registration and puts no limit on the number of cards: build one, download it and make another version if you like.

You pay only for printing: at a print shop for the run, at home for paper and ink. If the card is digital, for an email signature or to send in a chat, there is no cost at all.

How to make a business card on your phone

The online maker opens in a phone browser, with no app to install. The fields and the preview are stacked: you fill in the text, scroll down and see the result.

The logo is uploaded from your photo library and the finished file goes to your downloads. A typo is easy to miss on a small screen, so before printing open the layout on a large screen or send it to someone to check.

Which size to choose before you start

Settle the size first: it decides how much text fits and which card holder the card will sit in. It is 3.5 x 2 inches in the US and Canada, 85 x 55 mm in the UK and Europe, 90 x 50 mm in Eastern Europe and Latin America, and 91 x 55 mm in Japan.

Our maker has all four sizes in a list, and the English page starts with 3.5 x 2 inches. When you switch size, the layout rearranges itself: type and spacing scale in proportion, and you do not have to enter the text again.

What to do if you have no logo

A logo is optional. Plenty of personal cards do without one: a large name, a profession, contact details. A card like that looks calm and reads faster than one with a hastily invented symbol.

If you want a graphic accent, choose the Monogram or Split design: with no logo, the maker puts a circle with your initials in the accent color in its place. In the other designs the logo area simply stays empty.

How to make a business card in an online maker: 4 steps

The size common in your country is selected by default. You can change it: the layout adapts to the size you choose.

Step 1. Enter your text or choose a template by profession

The "Ready-made card by profession" list has sixteen options: photographer, lawyer, dentist, barber, nail technician, realtor, tutor and others. The template you pick fills the fields with a sample and applies a matching design and color. Replace the sample with your own details.

You can also start from scratch: name, job title, company, slogan, phone, email, website, address. Empty fields do not appear on the layout. What is worth writing and what is not is covered in the article What to put on a business card.

Step 2. Choose a design and an accent color

There are nine designs: Classic, Stripe, Split, Dark, Monogram, Corner, Bottom accent, Frame and Minimal. The layout redraws instantly, so the easiest approach is to click through all the buttons and see where your text looks best.

The accent color changes the bars, the blocks and the job title line. Use your logo color or one calm tone. The tool does not wrap a long line, it sets it smaller: if a line has become visibly smaller than the others, shorten it.

Step 3. Add a logo and a QR code

The logo is uploaded as a PNG, JPG, WebP or SVG file. A logo on a transparent background looks best because it leaves no white box on a colored block. In the Split and Monogram designs your initials appear in its place if there is no logo.

To add a QR code, paste a link into the QR code field and it appears on the layout by itself. If you need a standalone code with a color or a logo in the center, make it in the QR code generator.

Step 4. Download the PNG

Before downloading, check the "Card size" list: the English page starts with 3.5 x 2 inches, and 85 x 55 mm, 90 x 50 mm and 91 x 55 mm are also there. If your printer asks for bleed, tick "Add print bleed" and the file grows by 3 mm on each side. The "Download PNG" button saves the front side at 300 dpi: for 3.5 x 2 inches that is 1050 x 600 pixels, or 1121 x 671 with bleed.

While you fill in the fields, the card is drawn in your browser and nothing goes to the server. At the moment of download a copy of the finished layout is sent to our studio: it carries the same contacts you put on the card yourself.

Which design suits your profession

A design has to fit the work, not just look nice. Some pointers:

  • Formal professions (lawyer, dentist, consultant): Classic, Frame and Minimal with a restrained dark color.
  • Services and beauty (nail tech, salon, florist): Split, Monogram and Stripe with a bright accent.
  • Technical and masculine themes (barbershop, auto shop, gym): Dark and Bottom accent.

How to make the back of the card

The back is built in the same maker as a second layout. Choose the same size, design and color, keep only the fields you need, for example the company and the slogan, and clear the rest. Empty lines will not appear.

A large QR code, a second language version or a short list of services all work well on the back. Download the file and give it a clear name so the printer does not mix up the sides. If you are ordering bleed, the checkbox has to be ticked on both layouts.

Do not want to fiddle with it? Hand the photo to a retoucher

Automation does not fix everything: a difficult frame, a photo that matters, an old print off a scanner. Where the algorithm gives up, a person works the picture layer by layer in Photoshop, by hand.

How to make a business card in Word and print it at home

How to make business cards in Word

In Word it is easier not to draw the card but to lay the finished image out on a sheet. The order is:

  1. Create a Letter or A4 document and set narrow margins.
  2. Insert a table with two columns and five rows.
  3. In the table properties set an exact column width of 3.5 inches and a row height of 2 inches (for the US card; for another size use its dimensions).
  4. Insert the card image into every cell and remove the padding inside the cells.

How many business cards fit on one sheet

Ten 3.5 x 2 inch cards fit on a Letter or A4 sheet: two columns of five. Together they take up 7 x 10 inches, and the edges of the sheet keep the margins the printer needs. The same count works for the 85 x 55 mm and 90 x 50 mm sizes on A4.

Twelve per sheet is possible if you rotate the cards, but the margins then become too narrow for most home printers. Ten per sheet is the safe option.

What paper and printer you need

Business cards are printed on heavy cardstock, noticeably thicker than office paper. Before buying, check your printer manual for the maximum paper weight it can feed: home models do not take everything.

In the print settings choose a heavy paper type and high quality, and keep the scale at 100%. If the printer fits the page to the sheet, the card size changes and the cards no longer match the format.

How to cut business cards straight

Scissors will not give you a straight edge. You need a metal ruler and a craft knife, or a paper trimmer. Cut along the cell borders of the table: long cuts across the whole sheet first, then the short ones.

Thin table lines help with cutting, but part of them stays on the edge of the cards. Make the lines light gray. There are also perforated business card sheets where the cards simply snap out; choose ones that match your format.

Printing at a copy shop

If you have no suitable printer at home, take the file to a copy shop. They print on heavy stock and cut with a trimmer, so the edge comes out straighter than at home. Bring the full-size PNG, not a screenshot and not an image forwarded through a chat app with compression.

Ask for one test sheet and look at it in daylight. Color on paper always differs a little from the screen, especially in dark blocks. If the small text is readable and the color is right, print the rest.

Double-sided printing at home

At home, double-sided cards rarely come out right the first time: the sheet has to be flipped and fed so that the back lands exactly behind the front. Do a test on plain paper first and hold the sheet up to the light.

You will not match the sides to a fraction of a millimeter, so make the back without borders and without a background running to the edge: a logo or QR code centered on white forgives a small shift. For home printing leave the bleed checkbox off: the cards are cut along the cell borders, and the extra margin would only throw the size off.

Printing at a print shop and checking the layout

What to send to the print shop

A print shop needs the file and the final size. State the card size in the order and say that the file is an RGB PNG at 300 dpi. If the shop asks for bleed, download the layout with the bleed checkbox ticked and tell them it is 3 mm on each side. The tool does not produce PDF or CMYK: check whether the shop will take a PNG.

All the figures for sizes, bleed and margins are in the article Business card size in inches, mm and pixels. The file has no crop marks; the dashed cut line is visible only on screen.

Which paper and how many cards to order

For a first run take ordinary coated cardstock without lamination or embossing: you will see the layout in real life without extra cost. Finishes make sense once the text and design have been tested.

Do not order a large run right away. Phone numbers, job titles and addresses change, and a box of outdated cards is no use to anyone. A small batch is easier to hand out and to reprint with corrections.

Common mistakes in homemade business cards

Almost every mistake is visible on screen if you know where to look:

  • Too much text and tiny type.
  • A typo in the phone number or email that nobody checked.
  • A small blurry logo stretched to the size needed.
  • A QR code that leads to a page that does not exist.

A digital business card instead of a paper one

The same PNG works without printing. You can send it in a chat after meeting someone, put it in an email signature or post it on a profile. The QR code in the image scans from a screen just as it does from paper.

On a screen what matters is readability on a phone. Open the file on a smartphone without zooming: if the contacts are readable, you are fine. If not, remove some lines and pick a design where the contacts sit on separate lines.

How to check the layout before printing

The check takes five minutes and saves the print run. Go in order:

  1. Read every line aloud, letter by letter and digit by digit.
  2. Call the number, write to the email address and open the website from the layout.
  3. Point your phone camera at the QR code and follow it to the page.
  4. Check the size in the list and whether the bleed checkbox is ticked, if the printer asked for it.

What the cost of printing depends on

Four things drive the price of a run: quantity, paper, number of sides and finishing. The larger the run, the cheaper each card, but the total grows and spare cards go out of date in the box.

Double-sided printing, lamination, rounded corners, embossing and a custom size are charged separately. The standard format on ordinary cardstock is almost always the best value. Ask the printer for the price of two or three quantities and compare: sometimes the next tier costs nearly the same.

Frequently asked questions

How do I make a business card for free? Build the layout in an online maker: enter the text, choose a design, download the PNG. In our tool this is free and needs no registration; you pay only for printing.

What program should I use to make a business card? The easiest is an online maker where the size is picked from a list. Word is good for laying cards out on a sheet, and a graphics editor gives full freedom but makes you watch the format.

How do I make a business card in Word? Create a table with two columns and five rows with 3.5 x 2 inch cells and insert the card image into each one. That gives ten cards per sheet.

How many business cards fit on a sheet of paper? Ten 3.5 x 2 inch cards on a Letter or A4 sheet: two columns of five.

Can I print business cards on a home printer? Yes, if the printer can feed heavy cardstock. Print at 100% scale and cut with a ruler and a knife rather than scissors.

How do I make a business card on my phone? Open the online maker in your phone browser, fill in the fields, upload a logo from your photo library and download the PNG. Check the text on a large screen before printing.

What format does the card download in? An RGB PNG at 300 dpi. The size is chosen from four; for 3.5 x 2 inches it is 1050 x 600 pixels, or 1121 x 671 with a 3 mm bleed. The maker has no PDF and no CMYK.

How do I make a double-sided business card? Build two layouts: the front and the back, for example with a logo and a tagline. Download both files and send them to the print shop together.
